Tip #1:Get everyone involved
A good strong budget along with effective reporting requires the input from everyone within the company.Since most businesses function through different departments, it is important to collect a budget and report from each of the separate departments.Each department within the company will have a manager, program director, project manager, etc. that should be consolidated with as you come up with more effective ways to budget.A clear view of where the money is coming from, how much is coming, and where it is going will give your staff a much better understanding of what they can do to help keep things on track in their separate departments and with the company as a whole.

Tip #2:Build your foundation
When we talk about building a foundation we are referring to some fairly specific things:

  • Establishing a time frame for your budget is extremely important.Are you planning your budget and reporting for just this year, or are you planning it to take you five years from today.You can see how one year and five years would make a very significant difference in the numbers.

  • Set some goals and objectives.You need to make sure that you have clear business objectives that are realistically attainable.Are the projects you have going now meeting those objectives or do you need to do something different?Discuss new activities and projects and work towards meeting those goals.

  • Revenue and expenses.Do you have ideas for raising money for plans or goals you want to meet?Think about donations, grants, fixed expenses and departmental expenses.

Tip #3:Budget approval
Most likely the budget and reporting has to be approved by a board of directors.Don't just plan it all and take it to them hoping that they agree with everything you have come up with.Meet with them to discuss what they think about the budget and reporting outlook.Ask them for opinions and ways it can be improved to be even more effective.After you have received the permission needed to go ahead there are some things that you can do to make sure everything is running smoothly and your new budget and reporting plan will be effective.

  • Implementing your strategies by preparing a monthly budget report can help you compare what you are actually spending to what you predicted you would spend.Make sure that every key player that needs a copy of those reports gets one; don't let anyone slip through the cracks because one forgotten report can make a huge difference.

  • Make sure that you review and determine how much revenue and expenses have deviated from what your predicted budget was.Go through those expenses and figure out what worked and what didn't.

  • Revise.If adjustments need to be made then now is the time to do it.
