How to identify discrepancies in your budget


Coming up with and following a strict budget is central to the financial success of your company.After you come up with your budget, however, and even as you are following budget, you need to ensure that you can identify discrepancies in your budget so that you can take care of those discrepancies and so that you will be able to take care of any problems in budgeting, in reporting, and/or in other departments that may be having issues.

It is difficult to keep track of your business' finances.You have a number of different payments that you have to track, from paying your suppliers, ordering pencils, paying your retail space rent, and so on and so forth.You also have to be able to track all of the money that is coming in to your branch.If you can't track what is coming in and what is coming out, then there is no point to having a budget, and there is no point in even owning a company.


One important part of maintaining a budget is keeping track of all expenses.You need to keep a record of everything that is spent, and everything that comes in.Nothing can be passed by-you need to keep all receipts, all payment slips, all invoices, so that you can check these against your budget records when you review your budget on a regular basis.There is no other way that you can keep track of and identify discrepancies in your budget.Finding discrepancies in your budget can be time-consuming and very difficult.It entails checking all expenditures recorded in your budget and all incoming money against all paper records of expenses and incoming assets, whether cash or in some other form.It is easiest to find all discrepancies in your budget if you check your budget on a regular basis; this should be once a week or once every other week.At the very least, you should check your budget against all paper records once a month.However, checking your budget more often can help you keep on top of discrepancies.

However, manual checking of discrepancies can and will take a very long time and is quite tedious.Also, you can make mistakes when you are looking for discrepancies.There are several budgeting software programs that will help you find any discrepancies in your budget.Both Quicken and Money help you track your budget when you input all of your expenditures.Quicken and Money both will automatically identify any discrepancies that show up in your budget so that you can see where there are problems.Once you see these discrepancies in your budget, you can work to take care of any problem that is causing discrepancies in your budget.

If you notice that a number of discrepancies are coming from a particular area in your business, or from particular employees, then you should carefully look into why those discrepancies are occurring.Perhaps they don't fully understand the expenditure reporting process, which should be reviewed frequently with all employees.Perhaps there is something more major going on that you need to take care of.

Double check all of your credit card statements against your budget and your budget reports.Make sure that you also check your receipts against your credit card statements against your budget.Run all of the figures so that you can make sure that everything is reported equally, and all of the figures are running the way that they are supposed to.
